About the Role
The Program Assistant is responsible for all administrative, program, and clerical support of the Edwin Meese III Institute for Rule of Law. This includes (1) managing the Vice President’s schedule, organizing travel, and handling expense reports; (2) assisting with the planning and execution of the Institute’s major programs, events, and ongoing working groups; (3) and ensuring that the entire office is well organized, adequately resourced, and prepared to carry out its daily tasks.
Primary Responsibilities
- Perform all scheduling, keeping the Institute Vice President calendar, responding to invitations, tracking expenses, managing correspondence, and making travel arrangements.
- Administrative and general support for the Institute, including sorting mail, answering phones, filing, and maintaining contact lists and statistics.
- Manage scheduling, correspondence, weekly reports, and special projects for the Institute’s Vice President.
- Assist the Vice President by tracking and anticipating deadlines and requests from other departments.
- Develop and provide appropriate briefing materials in advance of internal and external meetings and events,
- Assist the director of programs with the planning and execution of major events, regular working groups, and conferences including arranging venues, invitations, basic marketing, mailing lists, other related details, and day-of staffing.
- Track budget and expenditures and manage invoices, payments, subscriptions and vendor communications.
- Other duties as assigned by both the Vice President and the Director of Programs of the Meese Institute for the Rule of Law
Qualifications and Skills
Required Education & Experience
- Education: Bachelor’s degree required.
- Experience: 0 to 2 years of relevant office or administrative experience.
Core Technical & Professional Competencies
- Communication: Exceptional written and verbal communication skills.
- Technology: Proficiency in the Microsoft Office Suite; experience with database management is helpful.
- Organization: Highly organized with strict attention to detail and the proven ability to prioritize multiple projects simultaneously under tight deadlines.
- Execution: A self-starter and proactive problem-solver who follows through on tasks in a timely, reliable manner.

Compensation
The projected salary range for this role is competitive in the marketplace, contingent upon the specific skills and experience of the selected candidate.
